WESTERN COLORADO DRAGWAY CANDIDATE INSTRUCTIONS
There are 4 positions: President, Vice President, Secretary, and Treasurer. You may run as a group or as individuals. If you cannot find others who wish to run for office you may run alone. (NOTE: CURRENT BOARD IS CONSIDERING MAKING CHANGES TO THIS PORTION OF THE BYLAWS – ASK TERI)
Put together a one page / two sided position paper. Here is the suggested format: (NOTE: EMAIL FORMAT IS PREFERABLE!)
Front side: list your 4 candidates (or just yourself) and a brief bio/resume on each.
Back side: Tell us what your group intends. Your voters want to know: Who will you hire as track manager(s)? How much will you pay that person? What are your specific goals for 2009? What changes will you make?
The track will pay for the printing and distribution of this paper. You can email your document to Teri at wcdra@hotmail.com.
Timeline:
Wednesday, Aug 20 – all candidate paperwork to Teri for printing of ballots (NOTE: EMAIL FORMAT IS PREFERABLE!)
Saturday, Aug 23 – Distribution of ballots at track. Unclaimed ballots will be mailed on Monday, August 25th. A ballot box will be made available for voting that day and then the box will be sealed.
Monday, Aug 25 – Thursday, September 4th
Mailed in ballots will be collected but not opened.
Thursday, Sept 4th 7:00pm – A meeting will be held at the dragstrip for the purpose of counting the ballots. Members may choose to bring their ballots with them at this time. Ballots will be counted and the winning candidates will be available after the counting to visit with members regarding their concerns & ideas for the 2009 season. Members unable to attend that meeting are encouraged to send comments or suggestions via track email or mailed in with their ballots. Newly elected / hired candidates should make themselves available as much as possible for the remaining races of the season starting on September 5th.
BYLAWS: Candidates should be familiar with the current bylaws – especially the requirements of each board seat. Teri has a few copies at the track and we are getting them retyped for emailing – request a copy at wcdra@hotmail.com

TRACK MANAGEMENT DUTIES
In theory these could be done by 4-6 people instead of 1-2 and the salary could be split accordingly – BUT GOOD COMMUNICATION BETWEEN ALL PARTIES WOULD BE CRITICAL!
Race day operations (scheduling and supervising staff, assisting racers, conducting event safely, efficiently, and in accordance with NHRA & track rules)
Financial operations (itemizing income, paying bills, sales tax, accounts receivables, bank deposits, payroll, preparing financials for members and tax accountant)
Marketing (writing radio & TV ads, writing race program, appearing on TV interviews, and doing whatever it takes to attract racers and spectators)
Sponsorship sales (selling billboards and other sponsorship opportunities to new and existing clients)
General office (responding to emails, phone calls & letters, filing)
Stocking & Inventory (ordering food, beverages, fuel, souvenirs, purchasing supplies)
Member services (tracking points, member newsletters, planning special events, purchasing trophies)
Facility Maintenance (chopping weeds, repairing asphalt, making improvements)
Information Technology / Computers: (learn the intricacies of the hardware & PortATree software for running races, website maintenance, maintaining email list)
Fund Raising (organizing and conduction of various fund raising events)
Safety & Tech (making sure staff is properly trained, equipment is in good working order, NHRA rules are enforced)
